The Diagnostic Process

After managing the painting company's CRM for 14 months, I identified critical inefficiencies: manual bottlenecks, disconnected lead sources, pipeline chaos (7 separate pipelines with massive overlap), and gaps in follow-up tracking.

The Optimization I Designed

I created a comprehensive plan to automate their entire lead qualification and follow-up process:

  • Location qualification at entry: System asks for property location before sending booking link (in-area → immediate booking / out-of-area → professional referral)
  • Multi-touch sequences: 7-day nurture with 4+ touchpoints if no booking (Day 2, Day 4, Day 7 check-ins)
  • Pipeline consolidation: 7 chaotic pipelines → 3 clean flows (Lead Funnel, Estimates & Quotes, Jobs)
  • Stage-triggered automation: Every pipeline stage change triggers automated follow-up
